Work becomes less stressful and more productive, if we manage our time properly. In this concluding part of the Daily Time Management Tips series I will talk about some behavioral changes that will make your team more effective. As a leader of your team, it is your job to make sure that your employees are less stressed due to work and they accomplish more in less time.
An office with a cluttered drawers and file storages is not an uncommon sight. People tend to stuff their papers in the drawer, as if they are not going to need it ever in their life. But contrary to what they think, they will need it soon. Hence, as a leader it is your duty to motivate your team member to keep their drawers and storage spaces organized.
You can also get your team members to clean-up the office space one a month or quarter. Get rid of all unnecessary papers and old communication of which you have soft copies.
This may seem bizarre, but even after decades of e-mail invention, there are people who do not like to use it as a primary means of work-related communication. You should encourage e-mail communication among your team members and outside of it. Ask to use e-mail as primary mode of communication. Also tell them to keep the e-mail short, sweet, and simple.
There are certain things in our office that need to be standardized. Provide a standard format for communication like sales letter, order letter, report filing, etc., and ask your team to adhere to the format. This will help your team save time, and as it is, no one hope to read Márquez in the sales letter.

The biggest challenge for a leader is not manage his time, I know most of the leaders can do that, but the challenge is to manage time for its team, which is reluctant to do that on its own. In this part of Daily Time Management Tips series, I will talk about how to manage time for your team.
In every team there is a person or two who indulge in incessant talks. Find such people in your team and instruct them not to waste their and other’s time, and if they do not change their behavior, weed them out. A chatty team member not only wastes his time, but he distracts others as well.
Do not ask a carpenter to fix your leaking tap. This is never a good idea, even if the carpenter fixes the tap, for two reasons:
Your goal as a leader is to find the hidden talent in each of your team members and assign them task matching their capabilities. This way you will get most out of your team members and you will also get the work done on time.
An open interpersonal communication among team members and between the leader and the team members plays a very important role saving your time. You should also encourage your team members to bring the problem to you as soon as they find it.
The no-delay approach of problem recognition will dramatically increase the time taken in resolving the issue.

If you are in the position of leadership then a working knowledge of time management becomes very important for you. Do not expect your employees to step ahead and shoulder the responsibility. They simple will not. It is on you to make them work, and for that you will need a proper plan. In this part of Daily Time Management Tips series, I will address that issue.
Devote an hour or two on every Saturday to prepare the work chart for the coming week. This will save many work hours of your team that comes to office on Monday and could not find any to do. A weekly work chart will also tell the employee what is expected of them on each day of week. If you have your work chart in place then your employees cannot say that they did not know about the project. An hour or two on Saturday will save you tens to hundreds of work hour for your company (depending upon the size of your team).
A simple pat on the back goes a long way. Praise the employee who finishes its work on time. You can also run a weekly “employees with the best time management skills” contest. This will motivate employees to finish their works on time. Give some tangible reward as well. A pat and a prize works wonder in keeping the team on target and on time.
Do you know how much money does working with old equipments and software is costing you and your company? If you think you do not pay the price then let me break the bad news: you pay through your noses, if your employees have systems from their grandfather’s time. An investment of some thousand dollars can save at least ten of thousands of dollars in employee productivity every month.
